Authorization Letter

Give a recipient a clear, narrow instruction about a task another person may perform. Use a task-specific collection template when collecting a passport, shipment, or payment.

Revised October 11, 2026 · Fictional examples · English / Arabic

A drafting aid, not a verified record or guaranteed form. Check the facts, your authority, and the recipient’s requirements before sending.

Before you begin

  • Name the task and permitted dates
  • Confirm the recipient accepts a letter
  • Include only identification it actually requires. A general permission letter is not a substitute for a power of attorney.

Define exactly what the other person may do

  1. Confirm that the receiving organization accepts a letter for this task. Some activities require an organization’s own form or a different formal document.
  2. Name the person giving permission and the person carrying out the task. Describe the specific action, relevant reference, and organization involved.
  3. Set a usable start or end date and state any limits. Avoid broad wording such as “all matters on my behalf” for a single collection or submission.
  4. Review the draft against the recipient’s identification and signature instructions. A letter builder does not establish legal authority or replace a required power of attorney.

Questions about this template

What should a simple authorization letter include?

Identify the people, the exact permitted task, where it will be carried out, the relevant reference, and the intended time limit. Check what the recipient needs for identification and signature.

Is this a power of attorney?

No. This is a limited communication draft. If the task requires a power of attorney or another formal authorization, use the appropriate process rather than relabeling this letter.

Do I need to include an identification number?

Ask the receiving organization which identification it requires and how to submit it securely. Do not put unnecessary government identifiers or sensitive records into the draft.
