What You Must Do Before Submitting Any Official Document

Submitting an incomplete official document or one with a simple error can lead to rejection and processing delays. This checklist helps you verify everything before submitting your document.

Match the request

Check the current instructions for the recipient, purpose, format, language, and delivery channel. Ask whether a specific form, signature process, supporting record, or professional review is required. Do not assume a template replaces the recipient’s own form.

Check facts and privacy

Read names, dates, amounts, and contact details one field at a time. Remove placeholders and sample data. Include identifiers and supporting copies only when needed; do not attach an ID document just because a general checklist mentions one. Make sure the signer is the right person and has reviewed the text.

Inspect the final file

Open the exported file before sending. Check all pages for cut-off text, visible placeholders, unintended browser headers, and missing attachments. Follow any file size or filename instructions. Keep the version you sent and any delivery confirmation. If you discover an error afterward, contact the recipient and ask about its correction process.
