Recommendation Letter

Write a specific recommendation based on work or study you personally observed. A useful letter connects one or two concrete examples to the opportunity.

Revised October 11, 2026 · Fictional examples · English / Arabic

A drafting aid, not a verified record or guaranteed form. Check the facts, your authority, and the recipient’s requirements before sending.

Before you begin

  • Explain your role and how you know the applicant.
  • Choose a concrete example that you can truthfully support.
  • Check the recipient’s submission and confidentiality instructions.

MAKE THE WORDING WORK

Explain the relationship first

The reader needs to know whether you supervised, taught, or worked alongside the applicant, and for how long. That is why this version requires the relationship field. An opinion without that context is difficult to assess.

Turn praise into evidence

Choose an action you personally observed and explain what it changed. The example uses a project tracker and a revised handover checklist, not an unsupported ranking such as “best employee ever.” Only the actual recommender should approve and sign the final letter.

TOO VAGUE

Alex is amazing at everything.

MORE USEFUL

Alex reorganized the handover checklist when the schedule changed, helping the team track the revised tasks.

A specific, observed contribution supports the recommendation more clearly than a broad superlative.

Replace generic praise with an example the signer observed

  1. Identify who is recommending whom, how they worked or studied together, and over what period. The signer’s actual relationship gives the letter its context.
  2. Choose one or two skills relevant to the opportunity. Support each with a specific task, action, or result the recommender personally observed.
  3. Explain how the examples relate to the proposed role or program without inventing qualifications, rankings, or achievements.
  4. Send the draft to the actual recommender for review. Follow any private submission process, reference form, or requested contact arrangement.

To the Selection Team,

I am pleased to recommend Jordan Lee for a project coordinator position.

I supervised Jordan for two years in our project coordination team.

Jordan maintained a weekly project tracker and reorganized the handover checklist when the delivery schedule changed. This helped the team keep track of the revised tasks.

Thank you for considering this recommendation.

Sincerely,
Casey Morgan

Questions about this template

Can I prepare a draft for my recommender?

Yes, if they agree to review it. Provide accurate facts and clearly treat the text as a draft. Only the actual recommender can approve statements made in their name.

How long should the recommendation be?

Use enough detail to explain the relationship and give relevant examples. Remove repeated praise and follow any word or page limit set by the recipient.

Is a recommendation an employment verification letter?

No. A recommendation expresses an informed opinion with examples. Employment verification confirms facts an authorized employer representative can support from records.
