Employment Documents Guide — What You Need at Every Stage

Match the letter to its purpose and to the person authorized to write it. Employee requests and employer-issued confirmations have different roles.

Request or verification?

An employee can ask HR for employment or pay documentation. An employment verification letter should be issued by an authorized employer representative using accurate records. Ask the recipient whether it needs its own form, a letter, pay stubs, or other evidence. Do not invent a signature or certify your own employment as if you represent HR.

Resignation and handover

State your position and intended last working date clearly. Review any applicable contract and workplace requirements before choosing that date. A writing template does not determine a mandatory notice period, final pay date, or entitlement to benefits. Keep handover tasks practical and separate from disputes that need their own process.

Recommendations and factual examples

A recommender should explain how they know the applicant and give examples they actually observed. Avoid generic praise without support and do not claim qualifications you cannot confirm. Have the actual recommender review and sign before using the recipient’s submission channel.
